This article gives a general explanation of our pricing plans, including user fees, premium features, pay-per-use features, and extra storage charges. For legal specifics, please refer to our Terms of Use.
How much does it cost? TrackVia's price can always be seen using the Billing link in the upper-right corner of any page (only account administrators will see this link). The Billing page will show you your current pricing plan, credit card information, invoices and receipts. You can also use this page to estimate your invoice for the current month.
The best plan for you – automatically. Most TrackVia customers have different pricing plans available. A basic plan might offer a few users and a moderate storage allowance at a low monthly base price. More advanced plans offer more users, more storage, and free or discounted premium features, in exchange for a higher base price.
You don't need to worry about choosing the right plan. In each billing cycle, TrackVia will automatically switch you to the plan shown on your Billing page that is least expensive for you in that month. For example, if it's less expensive to switch you to a plan that has more included users than you need but saves you money on file storage, TrackVia will do it. To see which plan is cheapest for you at any given time, use the estimate this month's invoice link on the Billing page.
User pricing. TrackVia is usually priced by user. For example, a basic plan might give you 20 users for $249 per month, with each additional user costing $3 per month. In this context, a "user" is a distinct username and password that can access your organization's TrackVia account. You can add or delete users using the Setup page.
Your end-of-month user count is not pro-rated for added or deleted users during the month. That is, if you delete a user that had login activity during the current month, that user will still count toward your end-of-month user total. (It won't count in subsequent months.) However, if the user you're deleting has not logged in yet during the current month, that user will not count toward your end-of-month user total.
The following premium features are included with your monthly charge:
Depending on your pricing plan, these features may incur a flat monthly fee, a per-user fee, or be free. Refer to your pricing plan on the Billing page.
To enable these premium features, use the checkboxes next to each feature on the Pricing & feature choices tab of the Billing page. Note that you will be charged for a full month's worth of a premium feature in the month you turn it on and the in the month you turn it off. The only exception is if you've enabled the premium feature only once, and kept it enabled for less than an hour before disabling it. This first hour is a free trial period to allow you to experiment with the premium feature before deciding to add it to your account.
Pay-per-use features. Some of our premium features are paid for as they're used – you don't need to enable or disable them. This includes the Email Campaign feature, which in most pricing plans cost $0.01 per email sent with a minimum charge of $1 per campaign. See your Billing page for specifics.
Extra storage. If the total number of database records in your account exceeds the number your pricing plan includes, will have an extra monthly storage charge added to your invoice. For example, a basic plan might include 300,000 database records, with a cost of $15 per month for each additional 50,000 records. The charge is pro-rated, so if you only have 5,000 records above the free amount (i.e. you have 305,000 records total), your extra charge would only be $1.50 per month. The total size of documents stored in TrackVia can also incur a monthly charge. These documents include images or files in database records or in the History section of records, and files hosted in the Email Campaign tool. Like with database records, the charge will be pro-rated if you go over your pricing plan's included amount. You can see your current storage usage and the associated cost, if any, using the estimate this month's invoice link on the Billing page.
Billing policies. TrackVia is billed on a month-to-month basis by credit card (please contact TrackVia Support for alternate arrangements). We will charge you at the end of each month as payment for the month just ended. You may cancel at any time. We will always pro-rate your first and last months, and give you full credit for the remainder of your trial period, if applicable. (I.e. if you enter a credit card to purchase TrackVia with 7 days left on your free trial, we'll still give you credit for those 7 days free.)
